Personal Effects Customs Clearance Spain
Important Information
- Names Must Match
Customers should ensure that the name of the shipper and receiver on their order are the same and match the name on any uploaded documents. If the shipment is to be collected from or delivered to another person, this should be noted as the owner of the goods name and 'care of' or 'C/O' the name of the person who is handing over or receiving the shipment.
- Declared Value
When shipping to Spain, the declared value of the shipment should not exceed 150€. If the shipment exceeds 150€ or the shipment contains non-standard personal effects, such as tools or products of a commercial nature, the shipment will be assessed for duty which can be levied at the discretion of Spanish authorities.
- Additional Fees
All customers shipping personal effects will be required to pay an additional c. €50 customs processing fee directly to our courier partner for handling customs clearance. Storage fees may also be applied to shipments that are held awaiting further documentation from the customer. In addition to the c. 50€ customs processing fee, duties and taxes may also be applied to shipments over 35kg in weight as outlined below.
- Duty Free Clearance not applicable to all shipments
Shipments entering Spain temporarily such as for a vacation, or being returned by a Spanish citizen who was temporarily abroad for less than one year, Spanish customs only permit up to 35kg of luggage to be cleared duty free. Shipments exceeding this weight that are not being imported for the reason of study or relocation, with all relevant documentation provided, will incur duties and taxes which will be billed to the receiver on delivery. All shipments will incur a c. 50€ customs processing fee regardless of whether additional duties and taxes are also applied on top of this.
Documents Required (All customers)
All customers will be required to provide the documents below. If the consignee is moving / relocating to Spain, or going there to study, they will also need to provide the relevant documents in those sections.
- Passport
A copy of the consignee’s passport details page is required.
- Flight Ticket
A copy of the consignee’s flight ticket dated within 3 months of their shipment’s arrival in Spain. This must show travel from the same country that the shipment is being sent from. If the consignee has travelled in multiple journeys between the origin and Spain this is acceptable, and multiple flight tickets can be provided.
- DNI or NIE (if held)
If the consignee is a Spanish citizen, a copy of their DNI card will need to be provided.
If the consignee is not a Spanish citizen, a copy of their NIE card or visa will be needed (if held). If the consignee is staying in Spain longer than 3 months, they will need to apply for an NIE and register this with their relevant local Tax Office or Police Station in Spain prior to shipping. Should the length of stay be under 3 months no NIE will be required.
- Statement
The consignee will need to provide a written statement to Spanish customs detailing what their Personal Effects are for and why they are being shipped to Spain. This written statement can be automatically downloaded from your Send My Bag account based on the reason selected for shipping.

Relocating or moving to Spain to live (one year or more)
- Registration certificate (Certificado de Empadronamiento)
Obtained from the town hall in the town / city where the consignee is going to live.
- Baja Consular or Proof of living abroad.
Spanish Citizens relocating back to Spain after more than one year abroad may also be required to obtain a Baja Consular from the Spanish Consulate or Embassy in the country they were residing as proof of their residence outside of Spain. Otherwise all customers relocating to Spain will need to provide proof of living abroad for more than one year, such as proof of employment, studies, rental agreements or similar. Utility bills and Banks Statements will not be accepted.
Students
- Visa or NIE number
If the consignee is staying in Spain longer than 3 months, they will need to apply for an NIE and register this with their relevant local Tax Office or Police Station in Spain prior to shipping. Unregistered NIE numbers will not be accepted by customs.
- Enrolment or placement letter
This must clearly show the students full name, the University or College's name and address, along with the name of the course being studied and date the course begins.
General Personal Effects Customs Information
Personal effects are typically defined as used items which have been in the sender's possession for 6 months or more. If your shipment is checked by customs and is found to contain brand new or commercial items, you shipment may not be assessed as personal effects. Keep this in mind if you are sending Christmas gifts or other new items. Please check with customs so you are aware of potential customs duties, follow any advice given and attach all necessary documentation.
In order to demonstrate that your shipment consists of personal effects, you will be required to complete a brief non-generic packing list online, entries to be made in the format: "5 x Cotton Dresses, 2 x Jeans, 3 x Pair of Gloves", and so on, rather than as "10 x Used Clothing".
As customs processes and allowances vary by country, we advise all customers take 5 minutes to check how their personal circumstances and what they are sending will be assessed under the prevailing customs regulations of the destination.

Customs Clearance Time
Most shipments on this route will not be stopped by customs, however, when a bag is stopped by customs for any reason (missing documentation, impromptu inspection, prohibited contents, commercial contents or further information required) Send My Bag records how long customs hold it for. Our historical statistics for this route indicate that if the customs authority stops your bag they will on average take 4 working days to process it and release it back to us for delivery.
Shipping Gifts to Spain
Spain, like the rest of the EU, allows gifts to enter the country duty and tax free provided the value does not exceed €45. In the event a consignment declared as a ‘gift’ exceeds the duty free limit, Spanish customs may levy duty and tax on the consignments full value.
If the consignee holds a Spanish DNI or NIE, they may be required to provide a copy of this to complete customs clearance.
Shipping Commercial Goods to Spain
The consignee is advised to contact Spanish customs directly to ensure they have the appropriate paperwork and import licenses to import the goods they are shipping, and are aware of any additional duties, taxes and admin fees which will be applicable. Any additional fees are not covered by Send My Bag.
Commercial goods must also be sent to the business address which the Spanish Tax ID of the receiving business is registered and cannot be sent to another private address.
